Mail Document Supervisor

Carrollton, TX (on-site)

The Community Choice Financial® Family of Brands is currently seeking a Mail Document Supervisor. The Mail Document Supervisor will be responsible for overseeing and managing all aspects of Community Choice Financial's mail correspondence operations at the Corporate Office in Carrollton, TX. This role involves leading a team to ensure efficient handling of inbound/outbound mail, implementing, and maintaining tracking systems, enforcing risk and security measures, generating reports, and overseeing general management and organization of the mailroom.

Essential Responsibilities

Team Leadership and Operations Management
  • Supervise and train mailroom staff
  • Develop and implement standard operating procedures (SOPs)
  • Oversee daily operations of inbound and outbound mail processing
  • Ensure compliance with PII regulations and security protocols
  • Manage relationships with couriers and postal services
Process Optimization and Quality Control
  • Continuously improve mailroom efficiency and accuracy
  • Implement and maintain digital workflow systems (e.g., SharePoint)
  • Oversee reconciliation processes and chain of custody procedures.
  • Manage inventory of mailroom supplies and equipment
Risk Management and Security
  • Develop and maintain emergency response and business continuity plans.
  • Oversee suspicious mail handling procedures.
  • Manage surveillance systems and security protocols.
Reporting and Analytics
  • Generate and analyze reports on mail volume, costs, and types
  • Identify and implement optimization opportunities.
  • Provide regular updates to leadership on mailroom performance.
Compliance and Auditing
  • Ensure adherence to company policies and regulatory requirements.
  • Prepare for and assist with audits related to mail operations.
  • Maintain accurate records for all mail transactions.
  • Maintain a full-time work schedule with regular, in-person attendance during normal business hours, at a minimum, 40 hours per week.
  • Ability to meet the physical demands for this position, which frequently include: the ability to remain in a stationary position, move about freely inside and occasionally outside of the office, and the operation of mechanical controls, such as a keyboard.
Minimum Qualifications

  • Bachelor's degree in Business Administration or related field preferred; High school diploma with extensive relevant experience required
  • 3-5 years of supervisory experience in mailroom operations or similar administrative role
  • Strong leadership and team management skills
  • Excellent organizational and problem-solving abilities
  • Proficiency in Microsoft Office suite and mailroom management software
  • Experience with process improvement and lean methodologies
  • Knowledge of USPS regulations and other courier services
  • Understanding of data privacy laws and information security practices
  • Ability to maintain confidentiality.
  • Self-starter
  • Ability to work in a fast-paced environment and manage multiple priorities
  • Excellent communication and interpersonal skills
