Brief Job Overview

The Volunteers Engagement Manager / Senior Manager is responsible for developing and executing strategies to attract, engage, and retain volunteers to support USP’s mission and programs. This includes managing key compendial activities within the Global Science & Standards Division, such as supporting USP’s Council of Experts and Expert Committees, leading Expert Volunteer Recruitment, managing Expert Committee Cycle Transition, and overseeing Conflict of Interest activities.

The role also involves improving volunteer processes and system, including but not limited to evaluation, selection, and implementing relevant technology to drive quality improvements & operational efficiency. Additionally, the manager will ensure seamless integration of the Diversity, Equity, Inclusion, and Belonging (DEIB) roadmap in USP’s Expert Volunteers community in alignment with USP’s Equity Office.

This position interfaces with key divisional and cross-functional teams, including Expert Committee Management (ECM), Legal, Global External Affairs, QA, IT, HR, Equity, Travel, Finance, and USP’s Expert Volunteers community, to optimize efficiency within Volunteer Engagement & Compendial Operations while maintaining compliance with USP policies.

The Volunteers Engagement Manager / Senior Manager has the following responsibilities:

Expert Volunteer Recruitment and On/Offboarding:
  • Develop and implement recruitment strategies to attract a diverse group of expert volunteers that reflect USP’s values in trust, scientific expertise, and DEIB.
  • Oversee the onboarding and offboarding process, including orientation, training programs, and end-of-cycle separation to ensure volunteers are well-prepared for their roles & cycle transition.
Engagement and Retention:
  • Create and execute engagement plans to maintain expert volunteer satisfaction & enhance volunteer’s journey.
  • Develop & execute recognition programs to appreciate expert volunteer contributions and build a sense of community.
  • Collaborate with Global External Affairs on the collection and development of Expert Volunteer stories & successes to highlight the impact of our volunteers’ contribution and drive continuous promotion of USP’s Expert Volunteer Program.
  • Partner with ECM in the coordination and planning, as well as oversee logistics of all Expert Committee Hybrid Meetings to meet Expert Committee workplans and produce favorable Expert Volunteer Experience.
Relationship Management:
  • Serve as the primary point of contact for expert volunteers, addressing inquiries, resolving issues, and providing ongoing support.
  • Foster strong relationships with expert volunteers to understand their motivations and improve their experience.
Program Development:
  • Collaborate cross-functionally to identify expert volunteer needs & continuous engagement opportunities.
  • Ensure expert volunteer activities align with USP’s mission and strategic goals.
  • Regularly assess program effectiveness for measuring the EV experience and impact through evaluation design and processes.
Communication and Outreach:
  • Maintain regular communication with expert volunteers through various media and channels
Data Management and Reporting:
  • Maintain accurate records of volunteer roster and activities, hours, and other relevant data.
  • Generate applicant and volunteer insights to support refinement of DEIB integration, assess expert volunteer program effectiveness, and identify areas for continuous improvement.
  • Prepare routine reports for senior management and stakeholders on volunteer program performance and achievements.
Compendial and Governance Support:
  • Manage activities supporting USP’s Council of Experts and Expert Committees.
  • Oversee Conflict of Interest and Disclosure activities.
  • Support Expert Volunteer Recruitment and cycle-transition activities
Technology and Process Improvement:
  • Spearhead technology and process improvements to drive operational efficiency, quality compliance, enhancement of volunteer experience, and enterprise alignment.
  • Contribute to the ECM initiative, ensuring adoption, training, and technical support.
Cross-Functional Collaboration:
  • Interface with ECM, Legal, Global External Affairs, QA, IT, HR, Finance, Travel, Global Science and Standards Division, Equity Office, and other key internal and external teams on routine volunteer operations and initiatives.
Diversity, Equity, Inclusion, and Belonging (DEIB):
  • Ensure the development and deployment of the DEIB roadmap across the CoE body, aligning with USP’s People and Equity Office Strategies.
Who is USP Looking For?

The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience:
  • Bachelor’s degree in operations, Human Resource Management, or relevant field.
  • Minimum of five (5) years of talent lifecycle management/human resource operations, and continuous improvement experience.
  • Minimum of 5 years of people management experience.
  • Minimum of 3 years of HRIS implementation and/or administration experience.
  • Proficient in Microsoft Products (including but not limited to MS Office Suite, MS Teams, SharePoint, Co-Pilot) & other enterprise solutions (including but not limited Concur, Service Now, Learning Management Solution, Event Management Solution, Electronic Document Management Solution, & Time Tracking Solution)
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong organizational and project management skills with attention to detail.
  • Experience working in a global setting, understanding diverse cultural contexts, and managing international stakeholders.
Additional Desired Preferences
  • Certified Lean Six Sigma Green Belt.
  • Experience with data analytics tools (i.e. Tableau, PowerBI, Minitab).
  • Experience in volunteer management, engagement strategies & relevant software.
  • Flexibility to work early and long hours during days of volunteer events.
