Position Summary:
We have an exciting opportunity to join our team as a Senior Operations Analyst.

The mission of Real Estate Development and Facilities (REDF Department) is to plan, develop, operate and maintain the campus of NYU Langone Health and provide the foundation for its growth and success in the 21st century. REDF provides strategic campus planning and project development services, including architectural studies, programming, design, construction and associated infrastructure and technological upgrades, for new structures and renovations to existing structures on the NYU Langone Health campus. The Department also operates and manages all facilities, infrastructure and related support services across the medical center. REDF is composed of the Real Estate, Housing, Planning Project Development, Facilities Operations Management, Finance Administration, Campus Security, Environmental Services, Environmental Health Safety, Radiation Safety and Clinical Engineering divisions. Overall this role is under extremely limited supervision, provides support to financial analysts, admin group, property and project teams, including, but not limited to running financial reports, systems development programming and updates, training and user support. Identify the defects in business models and operations. Conduct research, investigate workflows, business procedures and recommend changes. Ensure Company is following compliance standards and regulations. This role will serve as a subject matter expert to help the organization make better business decisions for long term success and growth. The role will require the use of best business practice models for planning, production, and management techniques and processes.

Job Responsibilities:
    • Will be required to plan, lead, and take/distribute minutes of regularly scheduled meetings with members of various teams. This includes but is not limited to creating an agenda and tracking the open issues.
    • Should possess a basic understanding of accounting/finance/business to assist REDF users in research of items (Purchase Orders/Invoices) and the system generated reports (Profit and Loss GL accounts).
    • Create adhoc reports as required.
    • Deliver reports and analysis outlined by management timelines. Including, but is not limited to, assisting in the Monthly/Quarterly finance reports generation, distribution, and analysis.
    • Ensure Data Integrity Must be reliable and check your own work.
    • Maintain organized tracking logs of authorized users to departmental systems. These are to be reviewed periodically. Assists in granting system access related to the onboarding/off-boarding of users. This includes, but is not limited to, following processes in place to setup users and projects/locations in Unifier.
    • Must be able to train all REDF users on how to use the systems (either due to new or changed processes, or a new employee basic training)
    • Create, modify and maintain the flowcharts of current Operations and Workflows. Need to ensure that the approval matrix is being followed in the systems. Understanding the relationship of business processes and systems is required.
    • Create, modify and maintain Technical and Training manuals. Must have attention to detail.
    • Understand and act upon systems issues, as required by the business guidelines of NYU, within a timely manner. Good organizational skills are required.
    • Interact with different applications from MS Office Suite (Access, Excel, Powerpoint, Word, Outlook) and possess intermediate to advanced skillset in these.
    • Interact with finance systems (Peoplesoft) and address accounting and system issues. Must possess basic understanding of P&L (Profit and Loss) reports and general ledger accounts.
    • Acts as liaison between REDF users and other departments (including but not limited to MCIT, Finance, outside contractors). Requires the creation, follow up and tracking of MCIT tickets. Good interpersonal skills are required. Must be aware of when to escalate issues of urgency with clarity.
    • Acts as primary Customer Support for entire REDF related systems (including but not limited to - Unifier, Analytics, PIMS, PeopleSoft/PBI). Must be able to keep up with a fast paced environment and have good communication skills.
    • As a senior level SME, it is expected that this role has the responsibility to double check ones own work. (eg it is highly suggested to have checkpoints and error handling built in as safeguards. Clearly mark all reports with dates and data filter specifications, and to know the audience that is being addressed.)
    • The Technology System Operations team requires a multi-talented team player who can conceptualize systems, integrate the business needs and be people/customer oriented. Must be able to work in a team environment. Must be computer savvy to document systems change request and perform UAT when needed.
    • This role will be responsible for being the Subject Matter Expert (SME) for the group. Must have full and complete knowledge of the existing systems and workflows. Must be aware of timing and implementation of changes to the systems. (eg approval matrix, onboard off board forms, etc)

Minimum Qualifications:
  • Bachelors degree or higher with a business, financial or computer concentration
  • 5+ years or relevant experience in Information Systems and Customer Service, Or equivalent education and experience
  • Knowledge and experience with relational databases
  • Knowledge of standard office software is essential, including proficiency with Microsoft Office Proficiency in MS Office, particularly excel, knowledge of MS Access preferred.
  • Ability to multitask; strong attention to detail; self-motivation, willingness to take initiative and work as a team; good oral and written communication skills.
  • Strong communication skills. Must be a team player.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $81,325.15 - $110,250.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
