The Cancer Prevention Department within the Public Health Sciences Division is looking to hire an Administrative Coordinator II. The Cancer Prevention Program is built around the idea that changing certain lifestyle of environmental factors can lower cancer incidence and improve survival. We investigate cancer etiology and risk factors through clinic- and community-based studies in targeted populations. The mission of the Cancer Prevention Program is to improve outcomes across the continuum of cancer care and other associated diseases by conducting research and community engagement and outreach through equitable efforts that promote prevention, early detection, and access to quality treatment and support services.

This position will be onsite at our South Lake Union campus in Seattle, Washington.

Responsibilities

PRIMARY/ESSENTIAL DUTIES:

May perform some or all of the following responsibilities:
  • Assist Administrative/Project/Program Manager, Principal Investigators, and staff with the implementation and administration of Center and department/project(s)/program policies and procedures.
  • Act as a liaison with Center staff and outside individuals/organizations, answering questions and resolving problems with regard to the administration of the department/project(s)/program.
  • Supervise administrative and clerical staff to include hiring, training, delegation of responsibilities, performance evaluations, and handing discipline and termination issues.
  • Coordinate personnel administration functions for the department/project(s)/program including submission of employment requisitions, salary administration, payroll processing, separations, coordination of performance evaluations, and various personnel forms completion.
  • Coordinate preparation and monitoring of budget, maintaining accounting records of grants and institutional accounts, ensuring operation within allocated funds, and interacting with Accounting and Finance and Grants regarding funding issues.
  • Coordinate department/project(s)/program space and facilities, administering changes as necessary and reviewing, evaluating, and anticipating space and facilities needs.
  • Manage acquisition, maintenance, storage, and supply of equipment.
  • Coordinate production, printing, and distribution of new and revised Center and department/project(s)/program manuals.
  • Coordinate grant preparation process, producing accompanying reports and non-technical sections, and assembling proposal, reviewing for accuracy and completion prior to submission.
  • Develop, recommend, and implement policies and procedures related to department/project(s)/program administration.
  • Perform complex administrative responsibilities including collecting and compiling a variety of billing and statistical information and reports and overseeing production of manuscripts and publications.
  • Assist Administrative/Project/Program Manager and Investigators with special projects.
  • Provide advanced administrative support to the Program Head including meeting scheduling, travel planning, reimbursement processing and other tasks.
  • Perform other responsibilities as required.

SCOPE OF RESPONSIBILITY:
  • Level of autonomy:
    • The incumbent works independently under the limited direction of the Administrative/Project/Program Manager. Uses judgment and discretion in interpreting and implementing department/project(s)/program and Center policies and procedures within existing framework. May have supervisory responsibility.
    • The Administrative Coordinator II has a greater scope of responsibility than the Administrative Coordinator I for any one or combination of the following: support of an especially large or administratively complex department/project(s)/program; supervisory responsibility for a large support staff; significant responsibility for budget preparation. Delegates v/s performs clerical responsibilities.

Qualifications

MINIMUM QUALIFICATIONS:
  • Requires High School/GED and six years of administrative or relevant experience OR equivalent education/experience.

PREFERRED QUALIFICATIONS:
  • Bachelor's degree
  • Previous experience working in a research environment
  • Experience providing administrative support for senior leaders and managing complex calendars.
  • Experience with office management and support (mangaging and following up on fix-it requests, supply orders, printer issues, etc.)
  • Detail-oriented and proactive.
  • High proficiency with office applications, including Microsoft Word, Excel, PowerPoint, Teams, Outlook, and Adobe Acrobat.
  • Excellent verbal and written business-communication skills; ability to draft clear emails, letters, agendas, and other business communications.
  • Ability to interact diplomatically and effectively with a range of professionals and staff.
  • Impeccable record-keeping and organizational skills.
  • Maintain professional decorum and confidentiality of all sensitive materials and information in printed, electronic or verbal form.
  • Must be able to work independently, be a self-starter, and have sole responsibility for assigned projects.

The hourly pay range for this position is from $32.77 to $49.14 and pay offered will be based on experience and qualifications.
