The MAC (Moves, Adds, and Changes) Coordinator will coordinate moves, adds and changes (MAC's) in office, lab, and clinic settings, and provide project management support for MAC related alterations.

The MAC Coordinator reports to the MAC Program Manager and is responsible for managing scope, schedule and budget of moves/adds/changes (MAC Coordination) as assigned. Other projects may include adjustments and/or reconfigurations for work areas including replacing carpet, re-painting, electrical, data and minor room alterations, etc.

A successful candidate has an ability to communicate clearly with all parties involved in a project, including key stakeholders, internal and external customers, team members and vendor partners. This role requires the ability to demonstrate exceptional customer service, teamwork, and attention to detail in order to ensure satisfaction with end users.

Responsibilities

The MAC Coordinator responsibilities can be broken into three major areas:

MAC Responsibilities
  • Move, adjust or reconfigure work areas including replacing carpet, re-painting, electrical, data and minor room alterations.
  • Meet with stakeholders to determine scope of project and complete sketches to communicate scope of work for furniture changes and additions to accommodate moving staff or onboarding new staff. Complete space planning to meet codes and space allocations standards.
  • Independently manage an average of 5-10 larger projects simultaneously from inception to close out while overseeing multiple daily requests.
  • Supports the MAC Program Manager in the oversight of MAC vendor teams.
  • Ensure that the budget for moves/adds/changes annually and on a project by project basis is not exceeded.
  • Provide superior customer service and timely responses to project status and goals, inquiries, work requests and concerns.
  • Plan and manage all move-in requests or adjustments to work areas based on established space requirements.

Furniture Management
  • Coordinate inventory of existing furniture available to be moved and incorporated into project. Support the MAC Program Manager in oversight and management of surplus furniture inventory for all buildings, keeping warehouses organized and orderly for future needs. Ensure furniture standards for each building are maintained.
  • Coordinate selection and specification for furnishings.
  • Under the oversight of the MAC Program Manager, request quotes from vendors and approve requisitions for furniture procurement and installation. Coordinate with vendors, service providers, furniture installation crews and movers to carry out the work.

MAC-Related Renovations
  • Under the oversight of the MAC Program Manager, complete planning and project management duties on minor and major MAC related renovations or portions of new construction projects as assigned. Most projects range from $20- 30k, with occasional projects ranging from $60k-600k.
    • Develop budget estimates for the proposed work. Manage the work within the established budget and prepare associated budget reports.
    • Work with and coordinate with the various center departments associated with the project.
    • Assist with the management of the consultant and contractors work efforts to ensure the timely and cost-effective completion of the work and transfer to building operations personnel.
  • Perform other duties as required.

Qualifications

Required:
  • 1 - 3 years of experience in planning and administering new construction and renovation projects
  • Knowledge of move processes and furniture systems
  • Experience managing small alterations projects
  • Excellent communication skills
  • Experience may be substituted for formal education on a year for year basis if supplemented by relevant training
  • Physical ability to do the required work, which includes traveling efficiently and effectively to and from all Fred Hutch buildings on campus approximately 50% of the time
  • Strong knowledge of move process and furniture systems

Preferred:
  • Demonstrated experience in a research and/or healthcare setting
  • Experience with AutoCAD and/or Bluebeam

The hourly pay range for this position is from $31.21 to $46.80 and pay offered will be based on experience and qualifications.
