Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for managing various administrative tasks, including expense reports, travel arrangements, meeting planning, and support for promotions and conferences. This role requires excellent communication skills and the ability to handle multiple tasks efficiently.
Your Key Job Functions
- Support VPO (Vice President of Operations) and DO (Director of Operations) by completing expense reports. Providing detailed information for each expense, including attendees for all business meals and submitting receipts weekly if possible.
- Coordinate all travel arrangements for the Vice President of Operations and temporary duty travel for managers.
- Compile and manage reports for restaurant visits.
- Prepare and set up quarterly 1:1 business review decks for the VPO before calls with Chief Operating Officer.
- Manage and maintain the VPO's calendar as well as updating the contact lists for the VPO.
- Plan and organize meetings for Directors of Operations (DO). In addition to assisting with organizing and setting up meetings and travel for GM meetings, PWP meetings, and other regional meetings.
- Assist with IT/access requests, travel arrangements, requesting PCards, conducting expense report training, and RSC calls for newly promoted DOs (Director of Operations) and submitting tickets for DO's access to Pulse, ML, HS, and provide coverage for other areas.
- Prepare and send anniversary cards to General Managers (GM) monthly and manage promotion items for General Managers and email anniversary and birthday lists to each region.
- Provide support for quarterly town hall meetings. Assist with the organization planning and execution of Maggiano's yearly GM conference.
- Own and manage email anniversary and birthday lists to each region.
- Handle orders for miscellaneous items from DSI, Brinkerstore, BOGs, flowers, baskets, etc. In addition, to that own ordering for chef coats for managers upon promotion.
- Other duties as assigned and requested.
What You Bring to the Team:
- High-School Diploma required; College degree or coursework toward a degree preferred
- 3 - 5 Years of experience of relevant experience
- Proven experience in an administrative support role supporting multiple leaders
- Excellent communication skills, interpersonal skills, and time management skills
- Ability to plan and schedule events, people, places and things.
- Ability to protect confidential information.
- High attention to detail and accuracy
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Self-starter with strong organization skills and the ability to multi-task and prioritize workload with the ability to work independently and as part of a team.
