Brookside Gardens, a Montgomery Parks facility, seeks a seasonal employee to assist with the private events and rentals office at the Gardens. The position is year-round. We seek an energetic person who enjoys being outside, interacting with people, and who has an outstanding work ethic with great attention to detail. The preferred applicant will have basic knowledge of how an event runs and experience working a variety of events, as well as be proficient in Word, Excel, Outlook, and PowerPoint. On the job training will also be provided as necessary.

Under direction of Rental Program Manager, the Event Program Administrative Assistant supports the Rental Program operations with administration work, staffing of events, and enforcement of terms and regulations which includes but not limited to monitoring events throughout the week, on weekends and evenings and providing administrative support to program managers and staff.

Examples of Important Duties

Administrative
  • Responds to phone inquiries and emails, answers questions, provides accurate rental rates and availability, and outlines elements in each venue.
  • Receives, opens, and screens mail.
  • Processes payments. Sorts checks and credit card payments to approved locations.
  • Accurately types a variety of correspondence as required.
  • Schedules client appointments.
  • Provides marketing tours with prospective clients.
  • Issues photo permits.
  • Schedules, tracks, and releases client "holds" and calendar of events.
  • Tracks full lifecycle of client relationship including reminders for payment, contract signing and regular follow up with clients.

Desk Top Publishing
  • Revises forms as required. Incorporates logos and new information into an attractive and professional document.
  • Collaborates with senior staff on new marketing materials. Advises techniques for incorporating photos.
  • Produces weekly events and appointments schedule. Disseminates to all required staff on a weekly basis.
  • Develops signage as needed.

Maintains Rentals Office Files
  • Creates draft contracts for events both internal and external via internal software system.
  • Assures all necessary documentation, such as but not limited to phone and email communication, insurance documents, and Terms of Use are completed and attached to each event contract.
  • Maintains and updates client files in date order.

Research Projects
  • Researches, organizes and provides informational data requested by manager using Excel.

Minimum Qualifications

Preferred Skills/Qualifications:
  • A valid Driver's license.
  • Able to lift 30 pounds.
  • Second Language Spanish Speaker strongly preferred.
  • One year of office support experience.
  • Passing score on appropriate proficiency tests.
  • Attentive to detail, responsible, and personable.
  • Able to work weekends and evenings.
  • Able to give and follow directions.
  • Able to stand for 4 hours in sun and heat in a garden setting.

Supplemental Information

  • This position is not eligible for benefits.
  • A background investigation will be completed prior to hire.

Pay Rate/Hours: $18.35/hour, 5 days a week. This position is scheduled to work Tuesday-Saturday, 30 hours a week, occasionally flexing for events.

Limited Benefits for Seasonal Employees

Health Insurance Plans
You are eligible for specific health insurance benefits if you worked, on average, 30 hours per week during your first 12 months of employment or from October 3rd to October 2nd each subsequent period following your first 12 months of employment. This equates to 1,560 hours over a 12-month period.

If and when you are eligible for benefits, you will receive notification directly from the Health & Benefits Office.

Eligible Employees Pay 35% of the health insurance plan premium and The Commission Pays 65%.
