Senior Manager of Enrollment Services

Basic Function and Responsibilities:
  • Reporting to the Director of Admission and Enrollment, provides oversight for the activities of the Enrollment Services department including all aspects of student enrollment such as registration, student records, payment, and graduation. Establishes the vision and provides strategic direction and accountability for leading and developing the Enrollment Services team.
Characteristic Duties and Responsibilities:
  • Supervise, direct, organize, and lead the Enrollment Services team to provide seamless, integrated services to students and the Oakton community.
  • Manage daily operations of the Enrollment Centers including maintaining appropriate staffing levels on two campuses, coordinating equipment maintenance (self-service kiosks), coordinating ongoing training for staff, and leading the hiring process during staff vacancies. In partnership with the Manager of Admissions Operations and Manager of Enrollment Services, coordinate and function as an active supervisor on duty for both Enrollment Centers, as well as manage and de-escalate student situations requiring a supervisor, as needed.
  • Contribute as a member of student appeal committees involving registration refund requests and proof of in-district residency.
  • Develop and monitor all budgets associated with areas of responsibility. Maintain inventory and recommend purchase of departmental resources.
  • Develop policies, procedures, and data-driven practices for registration management utilizing best practices and strategies to improve efficiency and achieve key performance indicators.
  • Oversee and maintain technological systems that support the student experience related to building college knowledge and registration. Lead in the development, implementation, and supervision of related technology including chat bot, customer relationship management system (CRM), and One Call Now. Monitor Oakton web pages for accuracy and update as needed.
  • Coordinate Enrollment Management communication plan including robo call campaigns, texts, and emails in collaboration with the CRM and Communications Coordinator.
  • Prepare, analyze data, and write institutional, regional, and state accreditation and agency reports and assist in collection and analysis of student usage and satisfaction data.
  • Participate as a member of the Enrollment Management Leadership team to create service level agreements that focus on quality, availability, responsibilities between departments, and metrics by which service will be measured. Forecast needs during peak enrollment periods and arrange resources, as needed. Collaborate with team members to encourage inclusion of all voices in decision-making and promoting equity.
  • Overseeing the coordination and execution of peak-period enrollment processes, including but not limited to Drop for Non-Payment (in collaboration with the Cashier) and All Hands on Deck initiatives with enrollment partners such as OATSS, Registrar Services, and Financial Aid.
  • Perform other job-related duties as assigned.

Job Requirements:

Qualifications and Working Conditions:
  • Master's degree required, preferably in college student personnel, higher education administration, human resource development, counseling, education, or related field.
  • Five years of experience in enrollment or admissions within higher education with progressively increasing experience, and demonstrated experience working with a culturally diverse student population are required.
  • Exceptional organizational and time management skills. Demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives, programs, and events and meet established deadlines.
  • A high level of interpersonal and communication skills are required, including active listening skills, professional written communication skills, and public speaking skills.
  • Experience with student information systems and Customer Relations Management (CRM) systems required (Banner and TargetX/Salesforce preferred). Aptitude for learning and training others using different technology systems.
  • Ability to travel between campus locations and work a flexible schedule including some evening hours consistent with student need.
Physical Demands:
  • Light lifting up to 10 lbs. and light carrying up to 10 lbs. Ability to reach above shoulder. Periods of time spent sitting, standing, walking, kneeling, bending and stooping. Mobility to move from building to building on-campus and to visit off-campus entities. Work is performed in a general office environment and sedentary in nature. Little or no exposure to adverse working conditions.

Supervision Received:

Administrative supervision is received from the Director of Enrollment Services.

Supervision Exercised:

Functional supervision is exercised over professional staff members, including Manager of Enrollment Services, Senior Enrollment Specialist, and Enrollment Specialist team members.

HOURS: Monday - Friday 8:15 am - 5:00 pm (Must have the ability to work flexible hours due to the needs of the College)

SALARY: $74,882

Allowable States for Out-of-State Employment:

All employees must maintain their primary residence in Illinois, Indiana, or a reciprocal state with Illinois. Reciprocal states include Iowa, Kentucky, Michigan, and Wisconsin. Illinois has tax agreements with these reciprocal states. Employees may have their primary residence in Indiana since Indiana is adjacent to Illinois.
