Your Role: We are seeking a dynamic and detail-oriented Meeting and Travel Specialist to join our team. In this role, you will provide comprehensive support for enterprise-level programs, from building registration sites to coordinating day-of-event logistics. You will also collaborate closely with internal clients to source and manage smaller division-level programs. The Specialist will oversee enterprise-wide virtual employee engagement activities and tools, ensuring they are innovative and effective. The ideal candidate is highly motivated, capable of juggling multiple tasks simultaneously and eager to explore and implement new event formats for in-person, hybrid, and digital designs. This position reports to the Sr. Manager, Meetings, Events, and Travel.

Your Work:
  • Ownership, creative development and logistical planning for in-office and hub-based employee engagement campaigns or events.
  • Vendor sourcing and contract negotiations for event partners.
  • Consultative associate for in-person and hybrid events at company locations.
  • Planning and day-of-event logistical support for key company-level virtual events and conferences in support of program lead, including liaison for key vendors.
  • Point of contact for attendee engagement tools, including the facilitation of engagement activities.
  • Design, creation and day-to-day management of registration websites, including emails and surveys.
  • Curate synchronous and asynchronous engagements that support our culture and build community.
  • Management of registration and travel data for the fulfillment of various needs (transportation, dietary restrictions, travel bookings, post-event feedback, etc.), while maintaining data integrity and security.
  • Building registration sites/forms, crafting slides and drafting housekeeping language for presenters.
  • Meeting and travel concierge-level service for high touch executive-level programs both at on-site company facilities and off-site venues.

Required Experience, Education and Skills:
  • Bachelor's degree in related area or an equivalent combination of meeting and hospitality education and experience. High school Diploma/GED required.
  • 5+ years of experience of in-person and virtual meeting and conference design, development and on-site logistics.
  • Proficient with virtual meeting platforms (Zoom, Teams Meeting, Teams Live Events) and Microsoft Office 365.
  • Up to 25% local travel and 10% domestic travel related to the on-site logistical support of enterprise event programs.
  • Strong customer service and hosting skills.
  • Strong communication skills, including grammar, spelling, and punctuation to design, prepare, review and edit registration website content and event communications.

What would make us excited about you?
  • Certified Meeting Professional (CMP) and/or Digital Event Strategist (DES) or related industry certifications (preferred).
  • Corporate Travel experience with a strong understanding of commonly used concepts, practices, and procedures in corporate travel; IATA.
  • Experience with Attendee Engagement Tools (i.e., Conferences i/o, Goosechase, etc.).
  • Experience with designing, creating, and managing CVENT Registration.
  • Proficient with O365.
  • Strong organizational skills with an attention to detail.
  • Ability to balance several projects simultaneously.
  • Able to work independently and as a motivated team player.
  • Ability to react to change seamlessly and pivot while remaining focused on program goals and objectives.
  • Ability to thrive in an environment of test and learn, approaching challenges with a focus on critical thinking, curiosity, and opportunity.
  • Develop and maintain strong partner and industry relationships. Active participation in industry professional associations a plus.
  • Actively shapes our company culture (e.g., participating in employee resource groups, volunteering, etc.).
  • Lives into cultural norms (e.g., willing to have cameras when it matters: helping onboard new team members, building relationships, etc.).
  • Travels as needed for role, including divisional / team meetings and other in-person meetings.
  • Fulfills business needs, which may include investing extra time, helping other teams, etc.

The national average salary range for this position is $85,410.00-$94,900.00. However, we have a location-based compensation structure. Our salary ranges vary and are calculated based on work location. The starting pay range for this position across all the states we hire in is $76,860.00-$113,900.00. This role also includes an opportunity for a company-wide annual discretionary bonus, through our Annual Incentive Plan (AIP), of up to 8% of eligible pay.
