DescriptionThe City is currently in the process of implementing a new salary structure. Depending on the progress of this implementation, the salary offered to the selected candidate may be higher than the amount currently posted. However, the candidate will not be offered a salary lower than the posted amount for this position. DutiesThis job description is illustrative only and is not a comprehensive listing of all job functions performed. The following are essential duties for this position, performed with or without reasonable accommodation: Primary Schedules, coordinates, and maintains the Director's calendar of appointments and meetings on a daily basis. Maintains current, archived, and confidential communications and files for Director. Assists with planning of special events such as presentations, announcements, public meetings, and staff activities. Represents CBU in various meetings, committees, or public events. Acts as support staff and liaison for the USB, including attending evening meetings every other week. Gather information from Legal and CBU staff to prepare agendas, packets, and minutes for all USB meetings. Handles complaints from citizens dissatisfied with organization's response and seeking assistance from the Director's Office or USB. Monitors and follows up on CBU Ureports. Creates and implements processes to maintain a neat, orderly, secure, productive, and welcoming office environment. Coordinates meetings and other department activities including scheduling for CBU shared spaces. Secondary Take all reasonable steps to maintain a safe work environment. Maintains inventory of office supplies as needed. Serves as back-up for other staff in the Admin Division. Job RequirementsHigh School Diploma: or possession of equivalent GED or combination of education and experience that provides the knowledge, skills, and abilities to perform the duties of this position. Difficulty of Work and Personal Work RelationshipDifficulty of Work Position performs duties in a modern office environment with no unusual physical demands but are required to meet constant deadlines. Work is performed in a high-profile environment. Incumbent must exercise discretion and maintain composure when handling citizens who may be upset at the actions of the City or department. Independent judgment used in the performance of duties in accordance with general guidelines. Requires regular evening and occasional weekend work in order to complete job responsibilities. Required to remain on call after hours to notify the media of incidents, as necessary. Personal Work Relationships Position maintains frequent contact with the Director and Assistant Directors, City department heads and staff, and external organizations, for a variety of purposes. |
