The Lead Associate, Administrative Services is responsible for providing comprehensive administrative support and office management for the Vice President, Regulatory Affairs-US, Large Molecule & Medical Devices Combination Products (CMC Regulatory & Quality) and others on the management team and other AVPs in Regulatory Affairs CMC. This team has a diverse accountability for both global and domestic functions: Vaccines CMC, Biologics CMC/Device and Drug Device Combinations. The incumbent is responsible for exercising professional judgment in managing the office, with a strong focus on the awareness of the confidential nature of the information flowing in and out of the office; managing the calendar by arranging meetings and logistics, including accurate domestic and international travel support; managing all communications and office record retention; directing a high volume of inquiries and matters to the appropriate parties within the Company; and generating correspondence. Being a self-starter who can proactively manage priorities and independently resolve scheduling conflicts is a key dimension of the position. To execute these responsibilities, the incumbent must partner with many internal and external stakeholders, including the various areas of the Company, including the ability to integrate effectively and quickly with the other members of Support Staff. The ability to adjust to constant/changing situations and the ability to manage relationships with others are essential.

The primary activities include and are not limited to the following:

Calendar Management
  • Maintain daily scheduling of VP/AVPs calendar, both scheduling and meeting acceptance, secure delegate coverage, provide background information
  • Schedule ongoing staff meetings for multiple groups that may be assigned to support and provide support to Chief of Staff for agenda items; provide logistic support for meeting rooms, catering, etc.
  • Schedule all staff / department meetings, coordinate logistics, and assist on site with meeting activities.
  • Coordinate meeting scheduling/conference room logistics for CMC BIO LT monthly meetings and quarterly CMC BIO Product Review meetings


Travel
  • Coordinate travel logistics for VP/AVP as necessary: Domestic/international flights, hotels, meeting registrations, passport updates, ground transportation
  • Coordinate with international sites to schedule 1:1 meetings during site visits


Support for Broader Regulatory and our Research Division Quality Organization
  • Provide support to the Lead Associate for GRACS-CMC / Regulatory and Quality as needed to support high priority or urgent requests from senior leaders across the organization.
  • Assist as needed for calendar inquires, large department staff meetings, site questions, IT questions, policy questions, ect.
  • Provide assistance and coverage for other GRACS and CMC Admin staff as needed
  • Maintain connections with GRCAS LT and our Manufacturing Division LT Admin Staffs to promote cooperation and partnership.


Finance
  • Complete monthly expense reports for VP, AVPs and others assigned. Troubleshoot missing receipts, investigate locations of incomplete receipts via internet search, etc.
  • Create POs as needed for HR items, off-site meetings, contractor support
  • Create Portal Payments as needed for external candidates


Admin Support
  • Liaise with CMC Admin staff for meeting scheduling, travel logistics
  • Provide assistance and coverage for GRACS-CMC Reg & Quality SVP Lead Associate as needed


SharePoint Sites
  • Manage access to GRACS Regulatory CMC LT-365, CMC Biologics, MDCP Quality and other distribution and collaboration sites as assigned.
  • Collect mid-year and year-end feedback on staff and consolidate into one document for VP
  • Assist with HR transactions as needed and act as liaison with HR support staff
  • Schedule candidate interviews (internal/external candidates) as appropriate
  • Assist with new employee on-boarding tasks


Program Product Responsibility List (PPRL) Management
  • Complete CMC / Biologics, Vaccines and DDDC related updates to the PPRL list as necessary and adjust names for the CMC scientist drop down list as needed.


Group Distribution Lists
  • Maintain distribution lists


Education:
  • Required: High School Diploma or equivalent (GED)
  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)


Required Experience and Skills:
  • Minimum of 10 years Administrative Assistant experience
  • Minimum of 5 years Administrative experience supporting Sr. Directors I Executives
  • Advanced computer skills using Microsoft Office suite (MS Outlook, Word, Excel, Power Point) and operation of other internal systems
  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel


Preferred Experience and skills:
  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as the capability to run reports within SAP
  • Strong organizational project management and problem-solving skills
  • Extraordinary attention to detail

Under New York City, Colorado State, Washington State, and California State law, the Company is required to provide a reasonable estimate of the salary range for this job. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate's relevant skills, experience, and education.

Expected salary range:

$86,700 - $136,600
