What You’ll Do As an Executive Assistant to the CEO, your primary responsibility will be to provide administrative and logistical support to the Office of the CEO. This will include managing day-to-day operations, such as calendars, travel arrangements, expenses, event and project management, and assisting with meeting preparation and follow-up by tracking key action items. In addition to supporting the CEO directly, you will also dedicate approximately 15% of your time to assisting the Chief of Policy, Planning, and Partnerships. Your executive support expertise in this role will enhance communication and coordination between the CEO and External Affairs offices and internal and external stakeholders. Responsibilities include the following:
OCEO Administrative Support (85%)
Maintain and manage the CEO’s calendar; organize and schedule meetings and work blocks to maximize CEO effectiveness Manage the flow of information to/from the CEO and other Teach Plus staff; identify priority matters that need to be urgently addressed Assist with meeting preparation and post-meeting action items; assembling and disseminating pre-work, recording and synthesizing meeting information, and building action plans, etc Take meeting minutes, as requested; summarize and synthesize meeting notes and disseminate them to appropriate parties Provide other routine administrative support, including managing an electronic filing system, supplies/material orders and inventory, retrieval of mail, and other related duties for the OCEO Develop and manage operational systems that support temporary staff/consultant collaboration Prepare and manage travel plans for the CEO Submit expense reimbursements, credit card reconciliations, and invoices Under the direction of the CEO, support the coordination and execution of OCEO events (e.g., quarterly board meetings, executive retreats, etc.) by creating and managing logistical work plans and communications and serving as the point of contact for all logistical elements Other ad hoc special projects and duties, as required External Affairs Administrative Support (15%)
Maintain and manage the Chief of Policy, Planning, and External Affairs (CXO) calendar; organize and schedule meetings and work blocks to maximize effectiveness Create and manage logistics/project plans, communicating with internal staff and external stakeholders about scheduling and project management Prepare and manage travel plans for the CXO Submit expense reimbursements, credit card reconciliations, and invoices Other ad hoc special projects and duties, as required What You’ll Need to Be Successful A minimum of 4-7 years of work experience as an Executive Assistant or similar role; preference will be given to candidates who have experience supporting multiple executives at a time Outstanding attention to detail, organizational, and time management skills Strong written and oral communication skills Exceptional discretion and judgment about communications between senior staff and internal and external stakeholders, and ability to align work with strategy Ability to work with and manage up to senior leadership Exceptional relationship-building and interpersonal skills, with the ability to collaborate successfully with multiple constituencies inside and outside of the organization Ability to navigate ambiguity Knowledge of online tools and software (i.e., Google Platform, Microsoft Office, Zoom) and other tools to collaborate virtually Expressed interest in and exposure to education issues Our Commitment to Diversity To better serve the teachers and students at the core of our mission, Teach Plus is committed to maximizing the diversity of our organization. Compensation and Benefits The salary range for this position is between $70,000-$80,000. The salary offered will be determined based on the selected candidate’s specific qualifications, years of relevant experience, specialized knowledge, and internal equity. Teach Plus provides a comprehensive benefits package and time-off, including 15 vacation days, 3 personal days, 5 sick days, 13 holidays, July break, Winter break, paid parental leave, and a 4-week paid sabbatical for every five years of service.
Location and Travel This is a remote position. Candidates must be willing to travel two to four times a year to support events.
