Alera Group is seeking an HR Coordinator in a hybrid role based out of our Deerfield office.

The HR Coordinator is part of the HR Business Partner team and assists with responsibilities within this function of HR. The HR Coordinator serves as a primary point of contact with colleagues, responding to general HR inquiries from employees, working on projects as assigned, and contributing to relationship building efforts as part of the HR team.
RESPONSIBILITIES
- Supports the employee life cycle process by working with managers and employees to guide the processes for status, pay, and other employee changes; ensures appropriate process flow for approvals and partner with payroll to confirm all submitted changes have been made in the HCMS; actively communicates with all key stakeholders to provide status updates
- Responds to inquiries from colleagues, which may include topics such as HR policies/handbook, benefits, leaves of absence, payroll, training, HR processes and HR programs; directs and escalates to subject matter experts or HR generalists as needed; identifies opportunities for policy clarifications, additional process documentation and/or communication.
- Supports the termination process by connecting with leavers to prepare and provide termination paperwork including termination letters, benefits separation summary, state-specific and other documents that are requested or required; coordinates efforts with HRBP as needed to answer questions and escalate any issues; monitors process to ensure all offboarding steps have been completed; reviews exit interview feedback and provides data to key stakeholders.
- Partners with Alera Group Leave Team and assists with needs pertaining to employee leave. Serves as a liaison for the team and managers regarding inquiries and questions pertaining to those on leave, leave onset, return to work, etc. Escalates issues to regional HRBP as needed.
- Reports employee changes pertaining to demographics such as status, job class, position title, supervisor, PTO Plan, etc. to HRIS or Payroll. Documents changes in letter format as needed.
- Assists in the collection of employee experience and engagement activity information from offices and updates the database accordingly in support of the maintenance of an up-to-date inventory of HR practices; asks questions and documents practices through conversations with employees and leaders.
- Provides support with employee relations efforts, including the collection of appropriate documentation, ensuring processes are documented and shared, and partnering with the HR business partner in the delivery of various steps in the process.
- Completes recurring and ad hoc project work as assigned, which may include assistance with data entry, data analysis, documentation audits, document preparation, reporting, process development, managing the labor law poster subscription, serving as an appreciation program admin, assisting with meetings and event logistics, ordering baby blankets, etc.
- Monitors HR ARCH page for updates (e.g., staff changes, outdated content), resolving or escalating to appropriate parties.
QUALIFICATIONS
- Bachelor's degree in business administration, human resources, communications or related field
- Great communication skills including listening and writing; demonstrates patience and empathy; maintains confidentiality as appropriate
- Strong prioritization and organizational skills in order to plan and execute a variety of tasks
- Excellent customer service and team orientation
- Proficient in MS Word, Excel and Outlook
- Attention to detail, sense of urgency, and relentless follow-up... sense of ownership and investment in providing top quality service to colleagues at all levels
- Asks questions to understand the "why"; uses curiosity to contribute to team learning and improvement
