General Purpose and Scope of Position:


Wilbur-Ellis is seeking an experienced Administrative professional to provide office administration services in a fast-paced, customer-focused sales environment. The ideal candidate will assist in all aspects of administrative duties and customer service including order processing and invoicing.

  • Strong organizational skills and the ability to multi-task

  • Requires excellent interpersonal skills between both customers and fellow employees

  • Excellent attention to detail

  • Strong oral and written communication skills

  • High-level of professionalism

  • Ability to take initiative, work autonomously, and own a project through the completion

  • 5+ years of experience in an Administrative Assistant role

  • Bookkeeping experience desired

  • Knowledge of mathematical concepts and the ability to apply such concepts as fractions, percentages, and ratios to practical application with accuracy

  • Demonstrated a high level of proficiency in the Microsoft Office Suite, with an intermediate level of MS Excel

  • Experience with JD Edwards software preferred

  • Ability to collaborate and contribute to a team environment

  • Requires the ability to work in a very fast-paced seasonal environment

  • Work closely with other branch locations as needed within the region

  • Agriculture industry experience is a plus

  • College or trade school equivalent education preferred

  • Willingness to work overtime as needed

Specific Responsibilities include:


  • Customer Invoicing; a daily repetitive duty

  • Accurate recordkeeping of invoices, delivery tags, and shipping documents

  • Assist with accounts receivable and related as necessary including customer support, prepays, online portal, past-due accounts.

  • Respond to customer inquiries in a timely, accurate, and appropriate manner

  • Make use of standard office equipment, computer software programs, fax machines, postage machines, copier machines, etc. to effectively perform all aspects of position responsibilities

  • Provide administrative support and assistance to area branch operation staff, sales staff, and managers.

  • Excellent verbal and written communication skills, bi-lingual (Spanish/English) a definite plus

  • Answer multi-line phone system

  • Attending training sessions and meetings when necessary

  • Other duties as required

Compensation and Benefits:


  • In compliance with all states and cities that require transparency of pay, the base compensation for this position ranges from $19.33 - $25.80 per hour. Note that wages may vary based on location, skills, and experience. This position is eligible for vacation, holidays, health, dental, vision, mental health, retirement plans, and other benefits.
