Job Description Summary:

Assists membership director with the organization's program to elect, retain, and serve its members. Provides advanced administrative and technical support for meetings, elections, membership database, and other membership activities. Coordinates projects, including preparation of materials, and may provide basic technical support related to digital media, audio-visual coordination, database maintenance, and other hardware and software support for membership services. Assists with supervision of membership assistants.

Under general supervision, incumbent provides complex administrative and technical support for membership-related functions and activities. Work requires continuous use of detailed knowledge of organizational operations, procedures, and staff. May establish processes/procedures to ensure the effective and efficient operation of routine support functions. Leads and mentors support and temporary employees.

Job Description:

ESSENTIAL JOB DUTIES:
1. Provides advanced administrative support including coordination of various membership activities. Reviews nomination packages for accuracy, pertinent, and missing information. Verifies information against databases. Resolves issues with staff. Completes and approves financial paperwork. Supports selection tracking database, nomination, election and balloting processes.
2. Oversees coordination of logistical arrangements for meetings and other events and activities. This may include activities such as overseeing mailing and registration processes, obtaining transportation contracts, serving as liaison between hotels, members, monitoring hotel rooming list and registration listings, preparing final pickup report and estimating blocks for next year, coordinating induction ceremony, proposing and developing tour ideas, and recruiting volunteers. Supervises support staff during these activities.
3. Creates and maintains web-based and other electronic databases and resources. Carries out assigned projects using customized database system and other database tools. Monitors data integrity and supervises data entry, generates reports, and prepares membership data analyses. Provides support for web sites, reviewing web content and providing guidance to project staff/web content owners on how to maintain data. May issue member site passwords and fulfill forgotten password requests.
4. Creates computer-based files for both print and electronic publication to support member service activities and may execute layout and design. Creates computer-based presentations. Revises and updates forms and templates. May record presentations and events in audio and video formats. Coordinates or executes set-up of audio, visual, and computer needs for meetings and events. May research/advise membership office on audio, video, and computer requirements and purchases.
5. Coordinates services for members while onsite (for example, may oversee a members' center). Greets and assists members and ensures that their needs are met.
6. Responds to member inquiries and requests for membership information from National Academies' staff and other parties.
7. Monitors Membership Mailbox for various forms sent for processing, including but not limited to: acceptance/declination; change of address; termination of membership; termination of committee; term extension for member; and term extension for committee.
8. Assists in the preparation and distribution of reports.
9. Supervises or assists with supervision of membership assistants.

10. May maintain the Members' Center.

JOB SPECIFICATIONS
Required Knowledge, Skills, and Abilities:
Ability to solve intellectual problems of some variety and complexity. Ability to exercise some latitude for independent judgment and action. Related computer and technology skills. Experience working in complex environments with a high degree of organizational effectiveness. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication. Excellent written and verbal skills with a proven ability to effectively interact with all levels of employees. Familiarity with NAE Policies and Procedures for Election and NAE bylaws is a plus.
Minimum Education/Training Requirements: High School Diploma. GED, or equivalent knowledge.
Minimum Experience: Six years of related professional experience.
Physical Capabilities: Ability to work at a computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to Director, Membership. Sets objectives with supervisor. May supervise Membership Assistants.

Compensation Range: The National Academies of Sciences, Engineering, and Medicine support equity, fairness, and transparency in our compensation programs. An estimated compensation range for this position is $27.82 - $34.77 per hour. Compensation offered to the selected candidate will be based on the candidate's relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range.

Work Environment: Hybrid Office/Telecommute environment, expected onsite percentage 40%, with occasional travel between National Academies' facilities and to off-site meeting/sponsor locations.
