The Administrative Coordinator I is responsible for providing administrative and educational support for the University of Washington (UW) and Fred Hutch Cancer Center's Hematology-Oncology Fellowship, a three-year graduate medical education program with twenty-seven trainees. This position reports to the program's administrator and is located within Fred Hutch's Clinical Research Division.

The fellowship program's Administrative Coordinator works in five key areas: educational conference and curriculum coordination; administration of a learning management platform for trainees ("MedHub"); event management; web support; and other general administrative tasks.

The Administrative Coordinator works independently with faculty, fellows, and staff from multiple institutions and training sites. Success in this role requires timeliness; proactive and adaptable communication and interpersonal skills; organization; engagement with the program team and leadership; and the ability to develop and maintain technical skills.

This role is hybrid, allowing a combination of remote work and two to three days per week on-site at Fred Hutch's South Lake Union, Seattle campus. Evening or weekend support is required for three to five program events annually.

Responsibilities

  • Interface with faculty, fellows, and event services staff to plan, schedule, evaluate, and archive materials from multiple educational conference series.
  • Coordinate with faculty, fellows, and administrators to schedule, support, and document semi-annual reviews of fellows' progress in clinical learning and research.
  • Coordinate with fellows and clinical staff to administer logistical aspects of fellows' clinical rotations.
  • Administer all aspects of "MedHub," the program's learning management system. This includes entering, auditing, and updating faculty and fellow schedules; configuring and administering evaluations; records management; and compliance tracking and reporting.
  • Manage multiple educational and social events annually, including space reservations; confirming speakers and participants; catering; calendaring and reminders; coordination with events staff; and day-of support.
  • Innovate content for and update the program's public web pages.
  • Develop and manage content for the program's intranet resources.
  • Oversee meeting logistics for the program's annual candidate interview days, including a complex breakout room process in Zoom.
  • Oversee annual documentation of faculty involvement in the program, including the generation of more than 100 recognition letters.
  • Complete other general administrative work. This may include tasks related to fellow onboarding and offboarding; records management; proctoring examinations; ordering supplies; and other as-needed requests.

Qualifications

MINIMUM QUALIFICATIONS:
  • Bachelor's degree or equivalent experience.
  • Minimum of 5 years of progressively complex administrative experience.
  • Strong computer skills including word processing, database programs, and spreadsheets.

PREFERRED QUALIFICATIONS:
  • Exposure to graduate medical education in residencies or fellowships.
  • Exposure to the MedHub learning management system.
  • Experience managing complex Zoom meetings.
  • General events management experience.
  • Strong organizational skills and attention to detail.
  • Advanced skills in Microsoft Office Suite.
  • Competency working with individuals in remote work settings and via MS Teams.
  • Ability to acquire new technical skills as needed.
  • Excellent verbal and written communication skills and the ability to communicate effectively with leaders, faculty, trainees, other staff, and across institutions.
  • Ability to work independently and as a part of the team.
  • Ability to prioritize tasks, plan, and problem-solve independently.

The hourly pay range for this position is from $28.34 to $40.35 and pay offered will be based on experience and qualifications.
