Resp & Qualifications

PURPOSE:

This role provides support to the CareFirst Conference Services team which oversees the planning and coordination and execution of high level and large group events/meetings held in the CareFirst Conference Centers. This position was created to support the Governor's Year of Service Program.

ESSENTIAL FUNCTIONS:

Develop a knowledge and understanding of the organizations Conference Center Guidelines related to event scheduling, catering, registration, guests' services, security, parking, AV, IT, housekeeping and other details needed for the success of the events.

May attend meetings with the clients before, during and after the event to assist with planning, executing and understand the event needs and expectations such as planning timeline, invitations, attendees, presentations, catering, room layout, security and parking.

On event days provide various support including check-in at registration desks, wayfinding with directional signage, escorting visitors, and other customized roles as it relates to event needs.

Provides support to daily operations of the CareFirst Conference Services space, conference rooms and Blue Workspace, which includes the availability of room scheduling, room set-up, room maintenance, catering services and AV partners.

Assist with documenting/maintained events/meeting planning notes, ensure catering documents and presentations are managed and maintained utilizing the event management software system.

QUALIFICATIONS:

Education Level: High School Diploma or GED or equivalent.

Experience: Less than one year experience in an administrative, clerical, customer service or operations role.

Knowledge, Skills and Abilities (KSAs)
  • Able to learn new technologies to perform data entry, manage calendars, and create documents.
  • Familiar with Microsoft Office applications.
  • Good time-management and organizational skills.
  • Good communication skills both written and verbal. Able to interface with all levels of management, associates, and vendors.
  • Ability to learn business operations/procedures in identifying project objectives and output requirements.
  • Be able to work efficiently and effectively under stress and tight time constraints.
  • Ability to work hours to accommodate events (early morning, late event and or weekends) and travel to multiple locations.
  • Must possess a positive attitude and the ability to handle confidential and sensitive information.
Preferred Qualifications:
  • Previous experience working in an administrative support or customer service role.
  • Participant in the MD Service Year/MD Corps member program.

Salary Range: $26,424 - $48,444
