Position Summary:

We have an exciting opportunity to join our team as a Program Associate.

Under the direct supervision, provides administrative support for activities related to departmental residency programs and departmental residency program leadership.

Job Responsibilities:
    • Triages all communication (phone, mail, email, and fax) and initiates appropriate action on all inquiries when needed for the residency program and residency program leadership. Maintains routine calendars, schedules, and meeting appointments. Assists in preparing for conferences (checking logistics, technical support, order and set up for food) and other related duties.
    • Performs and participates in other job related duties and assists the residency program and residency program leadership as directed/needed.
    • Attends institutional and program meetings as directed to stay informed of requirements for assisting in the administration of the training program. Maintains knowledge of ACGME and GME requirements for administration of residency training programs.
    • Provides clerical support for the program (photocopy, fax, emails) and other related duties as needed. Submits purchase orders and supplies for program, reconciles expenses, and consolidates data. Meets and greets applicants and residents and resolves non-routine situations based on established policies and refers unsolved issues and questions to the appropriate party.
    • Assists in activities such as data entry, resident attendance, and distribution. Prepares, submits and tracks catering invoices, and all reimbursement requests for residency program. Identifies discrepancies and makes corrections. Researches problems, issues and concerns and responds to requests for program information and program data based on information compiled from various sources.
    • Assists with conference, recruitment, on-boarding, program meetings and all other program events including catering, logistics, implementation, and communication. Oversees noon conference catering for all sites including ordering, planning delivery and pick-up and setting up for the conference.
    • Distributes correspondence, agendas, reports and schedules (noon conference, master conference schedule, call schedule etc.). Prepares and proofreads memos, reports, itineraries, name badges, and applications. Independently prepares responses to routine correspondence. Develops documents for presentations or meetings. Follows up and ensures accurate evaluation and schedule assignment for residents and faculty.
    • Maintains residency program information in appropriate systems. (e.g. New Innovations). Maintains residency documentation/records and files and storage systems appropriately. Opens, sorts, routes and distributes mail to the appropriate party. Screens emails on shared program email to determine which can be answered and which should be assigned to others. Assists in the preparation of letters of recommendation/verification of employment/training for residents


Minimum Qualifications:
To qualify you must have a Associates' Degree is required. Minimum of 1 Year of related experience in an office setting or the equivalent combination of education and experience. Effective Oral, written communication and interpersonal skills. Computer Skills -Working knowledge in the use of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 45 net words per minutes.Knowledge of standard office practices. Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.

Preferred Qualifications:
Bachelors Degree.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $41,977.18 - $53,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
