Brief Description Coordinate and perform a variety of moderately complex administrative tasks where considerable judgment, confidentiality, tact, and initiative are required in performing tasks and resolving issues. Witness, secure and maintain urine samples for male adult probation clients. Assist community supervision officers in custody process for clients with active warrants and the completion of criminal history checks. Provide clerical support to the front desk operations, as needed. Ensure that all work is in compliance with CJAD and departmental policies and procedures, federal, state and local regulations (as applicable). Detailed Description Witness, secure and maintain confidential records for urine samples. Document daily work activities in designated database. Track and maintain UA records to ensure accurate billing. Retrieve UA reports from fax machine and/or website. Enter negative results in CAS and distribute reports with positive results to officers. Provide clerical support to the front desk operations in the absence of the assigned front desk clerk during sick leave, vacation leave and breaks. May assist in coordination, ordering and maintenance of office supplies. Build and maintain professional, cooperative relationships with adult probation clients, CSCD staff and third-party vendor UA staff to ensure that the conditions of probations are consistently being satisfied. Escalate process and/or compliance concerns to management in a timely manner. Assist with unit orientations by securing client appointments from clerical staff, entering brief narratives to document a client?s attendance, and contacting clients regarding ?no shows?. Monitor canned food donations from clients. Assist with resolution of operational problems related to facilities, lighting, cleaning, air conditioning, etc. May assist community supervision officers in custody process for clients with active warrants (i.e. monitoring client during arrest process). May assist community supervision officers in the completion of criminal history checks. May back-up security personnel during breaks. Perform other duties as assigned. Job Requirements Graduation from an accredited high school or GED program. 60 college hours (external candidate) or 40 college hours (internal candidate) from an accredited college or university. Ability to work independently and responsibly in the absence of specific instructions. Ability to maintain neat, comprehensible and accurate records and personnel files. Demonstrated ability to work under frequent job pressure generated by short and inflexible deadlines. Demonstrated ability to learn and apply computer programs to office functions with minimal instruction. Ability to understand and follow written and verbal instructions, organize and process work. Ability to develop and maintain effective working relationships with employees, departments and the general public. Ability to effectively communicate, both verbally and in writing. Must pass an extensive background check. Performs work inside a standard office environment. May require prolonged sitting, standing, walking, and the ability to lift files, boxes, and other materials up to 15 lbs., unassisted.
